Introducing Trainexus at your institution: the facts you need to decide with confidence.
Evaluating Trainexus for a university, a public authority or a company? Here is what matters for the decision, in brief: data protection and hosting in Germany, EU AI Act transparency, integration with your existing systems, scaling, academically supervised evidence of effectiveness, plus support and exit certainty. We provide the full procurement documentation on request.
The four questions that come up first.
Is it GDPR-compliant?
Hosting in Germany (Hetzner), pseudonymous accounts, active deletion after every session, data processing agreements and standard contractual clauses with every provider.
And the EU AI Act?
Transparency obligation met: users know they are speaking to an AI avatar. Biometric-adjacent analysis only with consent.
Will it fit our IT?
Connect via a Moodle plugin and LTI 1.3, a claim link or a QR code. No software to install, runs in the browser.
Does it scale?
From a single person to an entire cohort. Billed by quota per organisation, group or user, white-label included.
Data protection is built into the platform itself, not merely described in documents.
Accounts, conversations and feedback are held in a PostgreSQL database at Hetzner in Germany. AI and streaming services are covered by data processing agreements and EU standard contractual clauses. Transmitted data is not used for model training — contractually excluded with OpenAI, ElevenLabs and Anthropic; the avatar stream produces no conversation content, and we are still obtaining an explicit assurance there.
- ✓Hosting in Germany (EU). Database at Hetzner, Falkenstein.
- ✓Pseudonymous accounts. No real names: a random identifier for commercial use, or an enrolment identifier at institutions.
- ✓Active deletion with an audit log. Data at OpenAI is deleted after the session (three-stage, max. 30 days per the DPA).
- ✓Video Analysis runs only in Germany. GPU server in Germany (IONOS, Frankfurt am Main), raw video deleted immediately afterwards; no video leaves the EU.
- ✓Supervisory authority. The competent authority is the BayLDA (Bavaria).
Responsible use of AI, communicated openly.
Trainexus is a training tool and, in our assessment, falls under the AI applications subject to transparency obligations rather than under the high-risk category. We actively implement those transparency obligations.
Clearly identifiable as AI
Users always know their counterpart is an AI avatar; there is no deception about the nature of the system.
Consent where analysis is biometric-adjacent
Video Analysis evaluates voice, posture, gesture and gaze (Art. 9 GDPR), and only on explicit, self-initiated consent. It does not infer emotions or inner states (such as nervousness or insecurity); Article 5(1)(f) of the EU AI Act prohibits this.
No scoring of individuals
No social scoring, no remote biometric identification, no automated decisions about people. Feedback is a learning aid, not an assessment with legal consequences.
Why not a high-risk system?
Trainexus is a formative practice tool: the feedback serves learning; it is not a graded exam result and carries no legal consequence. On that basis, in our assessment the high-risk case in Annex III (evaluating learning outcomes with decisive effect) does not apply. In terms of roles, you are the deployer and we are the provider; we support you with material for meeting the AI literacy obligation (Art. 4 AI Act) towards your users. Our detailed written assessment is available as a document on request.
Fits into your systems without a rollout project.
Nothing to install, no device management: Trainexus runs in the browser. Access arrives idempotently by claim link, QR code or straight from your LMS.
From one person to an entire organisation.
Quotas instead of licence counting
Billed by credit per organisation, group or user: you buy conversation time, not a per-head subscription.
White label
Your own brand, domain, logo and legal texts. Already in use, for example as the exam simulator of ZHL Bayreuth and as "Coach Kilian".
Transparent pricing
From €30 per hour of conversation, premium for more capable models. Invoiced, for the public sector also as an electronic invoice (XRechnung/ZUGFeRD), payment terms by agreement. To the pricing calculator →
Procurement pack on request
For tendering, data protection review and IT security we compile the usual documents:
- Data processing agreement including EU standard contractual clauses
- Record of processing activities & data flow diagram
- List of sub-processors with their locations
- Technical and organisational measures on request
- A quote and terms for your specific needs
From the university, in production use.
Trainexus was created at the University of Bayreuth and is academically supervised there, most recently in a study with 390 students on exam preparation, together with the Chair of Marketing and Consumer Behaviour (data collection January/February 2026). The academic analysis is ongoing; publication is in preparation. The same platform runs white-labelled far beyond the university.
What practising otherwise costs.
So that €30 does not sit in a vacuum: conventional conversation training is one-off and expensive per head. Trainexus can be repeated as often as you like, around the clock, with no scheduling or travel to coordinate.
Communication trainer
Typically around €1,000–2,000 per day, one-off, for a limited group, on a fixed date.
Simulated / actor patient
Roughly €50–120 per hour plus trainer and organisation; every repetition costs again.
Trainexus
From €30 per hour of conversation per person, repeatable at any time. Quotas instead of a per-head subscription.
Comparison figures are typical market indications for orientation, not offers from third parties.
No vendor lock-in.
A named contact
Direct contact with management, support by email and scheduled call. Service levels by agreement.
Your data stays yours
Feedback and history can be viewed and exported at any time (HTML/PDF/JSON). Account deletion on request.
A clean exit
At the end of the contract, the relevant data is exported and deleted: no data limbo, no dependency on proprietary formats.
Provider & references
Trainexus UG, rooted at the University of Bayreuth; in production use at ZHL Bayreuth and for the German tax adviser exam ("Coach Kilian"), among others. Safeguards such as source code escrow can be discussed on request.
IT security
TLS encryption throughout, hosting in the EU, pseudonymous accounts, least-privilege access and active data deletion after every session. Details on vulnerability and update management, plus a security questionnaire, on request.
Accessible by design
A full text mode (typing instead of speaking) and continuous transcription, usable without speech or hearing. Light and dark mode and keyboard operation included.
Frequently asked questions from decision-makers
Where is the data held?▾
Accounts, conversations and feedback are held at Hetzner in Germany (EU). The AI and streaming services (OpenAI, ElevenLabs, HeyGen) are covered by data processing agreements and standard contractual clauses. Anthropic is added for building scenarios in the studio and for the optional AI cohort report, under zero data retention. Video Analysis runs entirely in Germany (IONOS, Frankfurt am Main). Details in the privacy document (recipients table).
How do our users get in?▾
By claim link, QR code or straight from Moodle via LTI 1.3, pseudonymous and with no separate registration. Nothing to install, everything runs in the browser.
Can we have our own brand?▾
Yes. Trainexus runs white-labelled with your own domain, logo, title and legal texts, already proven, among others as the exam simulator of ZHL Bayreuth and as "Coach Kilian".
How is it billed?▾
Through quotas of conversation time per organisation, group or user, with no per-head subscription. From €30 per hour of conversation, premium tier for more capable models. Invoiced in advance. Work it out in the pricing calculator.
Which documents do we get for procurement?▾
A data processing agreement including standard contractual clauses, a record of processing activities with a data flow diagram, a list of sub-processors and, on request, the technical and organisational measures. Request them now.
What about accessibility?▾
Accessible by design: Trainexus can be operated entirely by text (typing instead of speaking) and transcribes the conversation throughout, usable by people who cannot speak or cannot hear. Plus light and dark mode, keyboard operation and sufficient contrast. We follow WCAG/BITV; an accessibility statement naming the limitations openly is available on request, and we are happy to work through your institution's specific requirements.
How does billing work for public sector clients?▾
For universities and public authorities we issue proper invoices, on request as an electronic invoice (XRechnung/ZUGFeRD); payment terms by agreement. A pilot of typical size usually stays below the threshold for a direct award under German procurement rules, so you can normally start without a tender. We will show your procurement office the simplest route.
Request a quote & documents
Describe your situation and we will prepare an individual quote and compile the procurement documents you need. You will receive a personal reply (not an automatic trial account).
Let's talk about your use case.
